1 JUNIOR ADMINISTRATORS (2)
PURPOSE OF POSITION:
Junior Administrators are responsible for the collating of the camp procurement documentation, which they process in GP and on stock sheets before submission for checking by Senior Administrator and or Systems Administrator.
This position is based in Maun Office.
BRIEF DESCRIPTION OF POSITION
– Capture all Camp/Office/Maintenance orders and invoices on GP 24-hour turnaround time on a discrepancy and 48-hour turnaround time on capturing of invoices.
– Reconcile statements to ensure all invoices have been capture in the correct month.
– Ensures that only received Camp goods invoices are captured and that all discrepancies have been resolved in 24 hours turnaround time on Fresh and 48 hours turnaround time on Bulk.
– Relief the Admin team, a town and camp and any other work scheduled by the supervisor.
– Assisting in creation of purchase orders as per the schedule drawn by the supervisor.
– Controlling the office collateral and branded inventory/stock as per the schedule drawn by the supervisor.
– Pull all invoices captured from GP to Stock sheet. Prepare Stock sheet for count on 25th and submission to accounts on 1st Check Camp/Office stock sheets, ICTs and invoices and attend to discrepancies before submitting to Senior Admin or finance.
– Check various orders for reasonability and approve (Considering pars, stock on hand, stock coming, usage and occupancies as guide lines)
– Responsible for all month-end templates/admin related templates for the new year including their accuracy, functionality and maintenance in the financial year in question.
– To file all month end Admin according to the check list including benight sheets, RBT’s, Gratuities, Banking, Ecology and Ansar on K-drive
