Administration Logistics/Service Centre
• Create trips sheets based on the route guide per route.
• Captured trips sheets to be emailed a day before to relevant personnel including FM, AM & control room.
• Monitor repair book in’s, assessments & quotations.
• Oversee customer complaints and ensure queries are dealt with timeously
• Oversee and ensure internal SLA is within 7 days and external SLA to within 21 days, daily feedback
• Oversee and monitor spare parts forecasting and spare parts stock holding
• Compile reports
Dispatching of Orders
• Cost effective route planning, all route to be profitable
• Check the stock and paperwork during pre-loading.
• Prioritise deliveries
• Booking orders before deliveries:
• Ensure screening of orders is done when orders are received.
• Report all the rejected deliveries/orders to KAM/AM and DC.
• Returned all credit approved orders to the DC with a master trip sheet.
• Ensure all PODs are returned by the driver. Driver & POD Debriefing
• Ensuring all PODs are accurately debriefed.
• Ensure all PODs are uploaded on the POD app.
• Stamp and sign all uploaded POD’s.
• Send all originals POD’s back DC once uploaded with master trip sheet. RVL/Returns/Repairs
• Create a collection trip sheet using the return approval documents received from FM/AM’s
• Collections of returns must be in line with Tevo Stock Returns Policy
• Reject all illegitimate returns
• Report all illegitimate CCV’s to AM’s and the line manager. Warehouse & Inventory
• Conduct daily Cycle Count on Inventory.
• Investigate any variances on cycle and stock count.
• Picking & packing stock.
• Quality control
• Re-work stock as per requests from KAM’s
• Rotate stock as per FIFO
• Prevent stock loss/maintain high level of security.
Accounts
• Manage the petty cash recon.
• Submit the recon every Friday.
• Hub Payables
• Facility Inspections and Maintenance
• Daily housekeeping
• Ensure facility weekly check list is submitted with pictures.
• Ensure and test all security systems
• All fire extinguishers and reels are serviced.
• Report any required repair and maintenance issues.
Fleet Management
All Tevo vehicle in the region must be managed by the Hub Controller on behalf of the Fleet Department, which includes:
• Weekly App Inspections for Ops vehicles
• Daily App Inspections for Logistics Vehicles
• Bookings of service, COF’s and general maintenance
• Attending Fleet Committee meetings
• Enhance Fleet Policy in the Region
Health and Safety
• Conduct daily toolbox talks
• Ensure all employees adhere to the OHS policy and procedures
• Attending OHS weekly meetings
• Appoint fire fighters, first aiders & SHE reps
• Ensure all drivers & machine operators are qualified
Staff Management
• Staff training
• Supervision
• Conduct disciplinary sessions when required
• Filing and records
Maintaining detailed records of:
• POD’s,
• Trips Sheets
• Vehicle check list
• OHS checklist.
Education: Formal Qualifications:
• Level of Education: Tertiary
Skills & Experience:
• 3 years of Supervisory Experience in Warehousing/Distribution
• 3 years’ experience in Fleet/Distribution
• 3 years of Administration experience
• Experience in WMS/Syspro an advantage
• Good communication, planning and organizational skills.
• Must be fully computer literate in Microsoft (Excel, Word, PowerPoint, etc)
