2) ACCOUNTS PAYABLE ASSISTANT x2

 

 

BASIC FUNCTION OF THE POSITION:

 

 

The Accounts Payable Assistant will be responsible for supporting the finance or accounting department by managing and processing all incoming invoices and payments. The Accounts Payable Assistant delivers a financial service to the operations of the mine. This role ensures that the company’s accounts payable process runs smoothly, accurately, and in compliance with the company’s policies and procedures. The assistant is responsible for maintaining accurate financial records, liaising with vendors, and providing administrative support.

 

 

MAJOR DUTIES AND RESPONSIBILITIES:

 

 

Your key accountabilities include:

 

 

  • Receiving and validating invoices, and inputting them into the accounting system.
  • Performing 2-/3-way matches (PO, GRN, invoice) and resolving price or quantity variances.
  • Routing invoices for approval in line with the delegation of authority and ensuring compliance with internal controls and audit requirements.
  • Preparing payment runs according to agreed terms and deadlines, and obtaining necessary approvals.
  • Posting payments and issuing remittances to vendors.
  • Maintaining accurate vendor master data and updating records when changes occur.
  • Responding to vendor inquiries and following up on outstanding matters promptly.
  • Performing monthly vendor statement reconciliations and clearing aged items before payment runs.
  • Applying correct tax codes (VAT/WHT), retaining supporting documents, and assisting with tax queries and audits.
  • Accruing un-invoiced goods or services, clearing GR/IR accounts, and preparing AP aging reports to meet month-end close timelines.
  • Producing and updating cash forecasts for upcoming payment runs and compiling ad-hoc analyses.
  • Providing audit documentation and supporting both internal and external audit processes.
  • Delivering general support to the finance team and enhancing operational efficiency.

 

 

MINIMUM QUALIFICATIONS, COMPETENCIES AND EXPERIENCE REQUIRED FOR EFFECTIVE PERFORMANCE:

 

 

  • Bachelor’s degree in accounting, Finance, or related field
  • Professional Membership (Registration with the BICA) is mandatory.
  • The candidate must have at least 2 years working experience
  • Preferred working knowledge of ERP systems (e.g., SAP, Pronto).
  • Advanced Excel skills with experience in financial analysis
  • Botswana Tax knowledge relating to accounts payable function
  • Basic understanding of IFRS and how AP flows impact the financial statements.
