PRIMARY PURPOSE
Monitor and manage the functions of TEBA offices to ensure effective service delivery to clients and the marketing of TEBA product range in area of control.
REQUIREMENTS
Education and Experience
Minimum Requirements:
• NQF Level 6 or equivalent-Diploma with management component
• 3-year related experience
• Clean criminal record is a prerequisite
Technical / Computer Knowledge
• Ability to competently use Microsoft Office Suite of products.
• Valid driver’s license and own car
• TEBA systems (Lotus Notes, MS Office, TPS, TPI, TDA & CSA)
• Immigration-Knowledge of Corporate permits and visa’s.
Working Conditions
• Willing to relieve office when required
• Be prepared to work Saturdays and extra hours
• Travel extensively
• Must have own reliable vehicle and a valid driver’s license

Major Tasks (KPI’s):
Office Management
• Will be responsible for the Botswana region, Molepolole and Palapye.
• Manage the effective allocation of employees and control of services provided to clients according to TEBA standards.
• Implement new and revised products by facilitating the training of employees to manage service delivery according to targets set for offices.
• Continuously facilitate the marketing of non-farming TEBA products to ensure the attainment of area’s growth targets.
• Manage the effective storage and safekeeping of source documents according to TEBA protocols.
• Manage queries and request to ensure the resolution of client problems/requests according to TEBA and TEBA product protocols.
• Control the assets and maintenance of office assets according to TEBA’s asset control, maintenance, and finance procedures.
• Manage appropriate safety measures as in place at all times in office(s) according to the organisational protocols.
• Control and approve procurement requests according to Supply Chain procedures.
• Compile and manage various reports for internal and external stakeholders according to operational and client requirements.
• Manage the administrative process efficiencies to ensure adherence to organisational service delivery standards.
• Manage the office(s) performance against set targets and implement appropriate action to achieve or exceed organisational objects with office(s).
• Manage projects.
• Manage immigration-Corporate permits and Visa’s.
People Management
• Manage resource allocation to ensure effective staffing levels and utilisation according to organisational needs.
• Manages employees’ key performance areas by setting and monitoring adherence to performance targets.
• Take appropriate ER action to correct non-performance to ensure the attainment of set objectives.
• Assist in preparation of career development plans, appraisal progress, and provides training and coaching to develop subordinates to their full potential.
Financial
• Provide input for annual budget’s related to office/s expenses according to financial requirements, prepare forecasts, and present the budget for Botswana operation.
• Recommends cost saving initiatives and controls expenditure within approved parameters.
• Manage property and lease agreements.
SHEQ
• Manage and adhere to all guidelines related to Security, SHEQ and IT operational policies and procedures of internal and for external clients.
Quality Assurance
• Conduct CSA as per procedure
• Address and manage all audit findings with agreed time frames
• Address all clients’ complaints
Stakeholder Engagement
• Provide support according to client needs and best practice principle
• Liaise with major external stakeholders in the area of service delivery to market the TEBA brand to increase the visible involvement of TEBA in communities.
• Ensure service level agreements with service providers are adhered to by both parties and facilitate the renewal process if required
